Quote from our Task master, Lioua:

“I could not achieve these high stats if I wasn't organised using the task manager, it has increased my productivity x10! ”

Introduction

How do our sales reps manage to get through their tasks every day? We’re here to answer that and tell you how to use ZELIQ’s task manager feature to its full potential.

It starts at the beginning of the week, each sales representative is assigned leads. In ZELIQ, they are assigned over 100 tasks a day, in ZELIQ tasks = leads to contact via cold calling, emails or linkedin messaging. Throughout the week and month, Lioua has to remember to not only treat his leads from the start of week but also from the previous weeks, constantly changing their status from:

New -> Hunting -> Connected -> Nurturing SDR -> Meeting booked

Or Disqualified & Bad Timing

Each sales representative manages their leads themselves for more responsibility however managers can create and access them too.

So how do you create a task?

There is an option to sort your tasks into multiple categories such as countries, time zones etc.

When relevant leads are selected, click add task:

Then select the type of task that you would like to carry out such as call or email and add a Date & Hour as a deadline to complete the task before a certain time. Press LAUNCH task, here you can REVIEW the task so you can delete or add other leads to the task.

Here you will also be directed to the outreach page where you can view details on your lead/ task such as notes, name, profile, job, company etc & you can also update notes on the client & take notes during and after the call & generate their personality using AI.

How to prioritise your tasks:

You can preview all your tasks in the Task button, they’re divided into 3 sections: Overdue, Daily and Upcoming.

  1. Overdue: These are first priority. Shows will show task not completed yet/ leads not contacted by the deadline

  2. Daily: 2nd priority, leads to contact that day

  3. Upcoming: if someone asks you to contact them in 2 weeks, you can create a task and put time and date to contact them.

How to complete tasks:

After you finished your call with the lead/task

Click on DONE, which opens up the ending task panel, Lioua believes this is the most important side panel “Ending task”

Here you can update notes, change the lead status AND Schedule a follow up task (as a follow up task you can chose to call setting a date and time OR add a 2nd follow up email, add as many tasks as you like)

Then Click CONFIRM and end the task, now the current task is marked as completed and the next task pops up.

At the end of the week there is lead unassignment (where leads who aren’t valuable or not the right people are marked as disqualified leads) this helps organise the clutter.

What are some challenges that you have?

Prior to using ZELIQ, Lioua encountered several significant hurdles:

  • Unorganized Workflow: An unstructured workflow often led to missed opportunities as leads slipped through the cracks or resulted in multiple SDRs contacting the same leads, undermining the professional image of the company.

  • Efficiency in Lead Contact: Effectively contacting numerous leads within a day was a challenge. However, since implementing this task manager system, Lioua has seen a substantial increase in productivity, enabling them to reach higher numbers consistently.

  • Lead Prioritization: Recognizing the importance of prioritizing leads, Lioua has developed a keen sense of which leads are of utmost priority. With this clarity, there's no room for excuses for missing out on important opportunities, while also effectively identifying and managing lower priority leads.

What happens if there's a backlog of tasks?

ZELIQ’s Lead scoring feature helps to avoid major backlog in tasks by auto prioritising tasks/ lead based on 4 categories:

Urgent: Leads requiring immediate attention due to unanswered emails from leads or missed calls.

High: Leads needing contact today including:

  • Overdue and daily tasks or significant engagement (2 clicks on a link, or an email is opened 2 times).

  • Leads contacted more than 4 days ago with no task created and no answers from them.

  • Leads with the status “New” with no activity performed yet and no tasks planned for over 10 days.

Pool: Leads not necessitating immediate contact, with tasks due within 7 days or no assigned tasks.

Standby: Leads needing no immediate action, with tasks due beyond 7 days.

You can efficiently allocate your resources, ensuring timely follow-ups and improved lead management.
